The African American Educational and Cultural Festival, Inc ( AAECF, Inc) is looking for Food Vendors for our 'Concert in the Park’ Event on Saturday, August 10, 2024 show time is 3:00pm at Grangebel Park’s stage (brick area) Peconic Avenue, Riverhead, NY. , to Benefit our Young Women Transitional and Mentoring Programs. Rain date Sunday,  August 11, 2024. Book today as Vendor Space is Limited!

This is our 2nd Annual Concert and are excited to host it annually. Each year will be a different musical genre as Rhythm& Blues, Jazz, Reggae, House, Salsa, etc to name a few . The ‘Concert in the Park’ is Free to the General Public. All are invited to attend this Family-Style setting where Guests are encouraged to bring their lawn chairs, and blankets. No Alcohol will be sold. Shop from our many Food and Merchandise Vendors, purchase Raffle Tickets and Enjoy the Show!

All donations will go to our Programs. MISSION: The Young Women's Transitional Services and Mentoring (YWTS), under the Auspices of the AAECF, Inc, was developed to empower women and girls by utilizing a multifaceted, systematic
approach. YWTS includes mentoring, community outreach, and Leadership development.

In addition, trainings will be provided in the areas of job preparation and job readiness. Program participants will also have access to advocacy and supportive services to establish a more effective, coordinated approach. Additionally, the program will provide a stepping stones process that will address the immediate needs of the underprivileged minority women and girls in our geographical communities.

THIS IS A FREE EVENT IN THE PARK!
PLACEMENT: Vendors with complete documentation EMAILED in to: AAECFINC@GMAIL.COM will receive approval first come-first serve.

Vendor booths must be maintained at ALL times!

Applications submitted by the listed deadline will be considered. Vendors will be notified via email of their event participation. Please bring a copy of Your Approval to the Event which will be collected with Donation. Vendors are expected to be available for the date and to arrive early for set up. No tables, chairs or Tents will be provided (2 tables & 4 chair max as space is limited). One Truck Space will be
provided. Any additional spaces will have to be paid for. Ethnic Festive decorations approved.

The AAECF, Inc. has a strong emphasis on promoting local small business and organizations owned/led by ‘Businesses of Color’. We Appreciate You! All vendors will be assigned spots at the sole discretion of the AAECF Committee. No preferred or priority placement requests are permitted. Vendor shall not
assign or sublet any portion of their space without permission

SUFFOLK COUNTY HEALTH DEPARTMENT CERTIFICATE MUST BE SHOWN WHEN ASKED BY THE HEALTH DEPARTMENT AGENT. NO EXCEPTIONS!

DONATIONS; $150 FOR THIS PARTICULAR EVENT WILL BE COLLECTED PRIOR TO SET-UP AT THE EVENT AT THE AAECF TABLE LOCATED NEAR THE STAGE. ALL SUFFOLK COUNTY HEALTH DEPARTMENT PERMITS SHALL BE CURRENT AND READIED FOR INSPECTION BY THE RIVERHEAD FIRE MARSHAL.

Vendors must bring a garbage receptacle for their booth and your staff are expected to keep it emptied.
Vendors are not allowed to use the Town garbage bins to throw away their garbage.

NONREFUNDABLE. Cash, Money Order or Check is Accepted. AAECF, INC
There will be no refunds for inclement weather or any other cancellations. For Donations sent in early with Application, will not be processed until you are approved. Do not mail in any Cash!

ITEMS BEING SOLD:. At the discretion of the Operations Committee, vendors found selling items other than listed on license agreement may not be allowed back into the event – with no refund provided. NO ILLEGAL PARAPHANALIA, SMOKE ITEMS, NO NUDE PHOTOS, PAINTINGS, VIDEOS, FOOD OR BEVERAGE. CULTURAL FOOD. PACKAGED CANDY, COOKIES, PIES, ETC THAT ARE MADE BY YOUR BUSINESS ARE ALLOWED TO BE SOLD.

For Clothing Racks, they must go in front or behind your table, not to obstruct another Vendor’s Table or View. Let’s be courteous to our Brothers and Sisters. PLEASE LET US KNOW IF YOU NEED ELECTRICITY TO YOUR TABLE. ALL VENDORS WILL BE INSIDE OF THE EVENT SPACE. PLEASE BRING YOUR OWN UL APPROVED EXTENSION CORDS. EARLY SUBMISSION CLOSURE TO THE STAGE
DEADLINE: FRIDAY, JUNE 30, 2023 (for early submission) - Priority Approval will be given to vendors who submit required paperwork by this date. GENERAL RELEASE AND ACCEPTANCE OF RULES AND REGULATIONS:

THE APPLICANT(S) HAVE READ THE RULES AND AGREE TO ABIDE BY SAID RULES. IN ADDITION, THE APPLICANT(S) DO EXPRESSLY RELEASE THE AFRICAN AMERICAN EDUCATIONAL AND CULTURAL FESTIVAL, INC., THE TOWN OFRIVERHEAD, NY AND THEIR ASSIGNS FROM ALL LIABILITY FOR INJURY, DAMAGE OR LOSS TO PERSONS OR PROPERTY.

IF ACCEPTED, WE UNDER THE ENCLOSED DONATION SHALL NOT BE REFUNDED IN THE EVENT THAT WE DO NOT ATTEND OR IF ALL OR PART OF THE SHOW IS CANCELLED DUE TO FIRE, CALAMITY OF ANY OTHER ACT OF
GOD, PUBLIC ENEMY STRIKES, STATUTES OR ORDINANCES OR ANY LEGAL AUTHORITY OF ANY CAUSE BEYOND THE CONTROL OF THE AFRICAN-AMERICAN EDUCATIONAL AND CULURAL FESTIVAL COMMITTEE.

I/WE HEREBY AGREE TO THE ENFORECEMENT OF RULES AND REGULATIONS OF THE EVENT AS SET FORTH IN THIS APPLICATION. I CERTIFY THAT ALL ITEMS FOR SALE ARE IN ACCORDANCE WITH THE ORGANIZATIONS THEME.
